Membership Dues Refund Policy
Adopted July 31, 2025
Houston Building Owners and Managers Association (“we,” “us,” or “our”) is committed to maintaining transparency in all financial interactions with our members. This Membership Refund Policy outlines how we process and manage refund requests related to annual dues payments.
By submitting payment for membership with Houston BOMA, you (as the member) agree to the terms and conditions outlined below.
Refund Eligibility and Terms
Membership dues may be eligible for a refund if requested within a defined timeframe:
- Within 30 days of the due date: A full refund may be issued, less a $50 administrative fee.
- Between 31 and 90 days of the due date: A prorated refund may be issued, less a $50 administrative fee, based on the number of full months remaining in the membership year.
- After 90 days from the due date: Membership dues are non-refundable.
These refund windows are inclusive of Houston BOMA’s proration period, which allows for partial-year dues to be calculated and billed based on the number of full months remaining in the calendar year at the time of joining. Prorated dues are considered final and are subject to the same refund guidelines listed above.
Property Transfers
If a building is sold or transitions to a new management company, the Houston BOMA membership remains with the building. If the new management company has an active Corporate (CAI) membership, the transition occurs automatically. However, if the CAI membership is not active, the building may retain its membership through the end of the calendar year. If the CAI does not join by the start of the following year, the building membership will be discontinued.
Refund Requests
All refund requests must be submitted in writing to ebarnes@houstonboma.org and include:
- Member name and organization
- Invoice number or payment reference
- Date of payment
- Reason for the request
Requests will be reviewed within 10 business days of receipt. Supporting documentation may be required.
Exceptions
Requests submitted due to exceptional circumstances (e.g., relocation, medical hardship, organizational merger) will be considered on a case-by-case basis and may be eligible for additional accommodations pending approval by the Houston BOMA Executive Team.
Communication of Policy
This policy is communicated in membership invoices, on our website, and during onboarding and renewal correspondence to ensure transparency and fair expectations for all members.
Membership Cancellation and Non-Renewal Rights
Houston BOMA reserves the right to cancel or decline to renew any membership at its discretion, including for non-compliance with policies, non-payment, or conduct misaligned with the association’s values. Refunds in such cases will be considered on a case-by-case basis in accordance with this policy.
