Users Fields

 
There are numerous options when adding or editing a user record. Those options control the display as well as the reflexes for reporting.
 
  1. userid - A system assigned ID given to every user record. Computers like numbers.
  2. phone number fields - the system will automatically format 3-7 phone numbers so it is OK to enter 8005551212 which will become (800) 555-1212. For international numbers and numbers that are not recognized it will leave it alone.

  3. email - email address 1 is the one that all mail is sent to. email2 does appear on export reports but is for your records only.

  4. Receive e-mail, or directmail, is a flag that allows the system to send an outbound message to this person. Setting the flag to "no" will prevent outbound e-mail. Please also check with the administrator about "e-mail blocks" if you are not receiving system generated e-mails.

  5. Web Site, or URL, is the web site for this user or company. Either a www beginning or a prefix of http:// are both OK.

  6. Company information - the name of the company for this record.

  7. Department is the department where the individual works within the company.

  8. Address information - address, address line 2, city, state, zip, country all relate to the mailing address. This is also the default address for the user as they navigate through the site.

  9. Education - The University or Training attended.

  10. Student - If the person is *currently* a student. This will flag discount pricing in certain areas of the software depending on how it is configured.

  11. Username - this is the login name a person uses when logging in to the site. It is a required field, so even a non-active user must have a username. On some sites you may also edit the username, but this is specific to each site.

  12. Memberid - the organizationally assigned memberid. This is an alphanumeric field so it can accept A123 and it will preserve leading zeros like 0A75. Depending on the configuration of your site, other members may or may not be able to see the memberid field. Additionally, depending on the configuration of your site the active logged in user may not even be able to edit their own memberid. Check with your web site administrator.

  13. Interactive - a user record must be interactive for them to log in. For fundraising sites or sales oriented sites, it is not necessary for the record to be interactive to send e-mail or work with the record.

  14. Status - a record must be in "active" status to login. Additionally, for some security levels, records in non-active status are not visible on search or view.

  15. UD1 - UD4 - these are user defined fields to give you a place to store data specific to your organization quickly and easily. These are visible fields.

  16. Securitylevel - Admin only - this determines the rights of the person logged in. It is separate from "ownership" so most users should be user security level and use their ownership rights on objects to add/edit.

  17. Entity - for system implementations that use one central database, entity is the primary filter to show xyz on site xyz and abc on site abc while storing all information in the same database. Entity is also used frequently for process plug ins (custom mods for a specific client)

  18. OwnerUserid and OwnerUserid2 - these fields control edit rights or maybe view rights depending on the configuration of the system.
